How to Ask Custom Questions When Clients Book an Appointment Online

Did you know that AssisTime lets you ask your clients custom questions when they book an appointment online? An injury to report, how they heard about you, a particular preference… You get the information before the appointment even starts!

Accessing the questions

Open the main menu (the three-line icon at the top left), then go to Calendar, Customize, Online appointments. Then click the Questions tab.

Adding your questions

In the Appointment booking section, click Add a question. For each question, you specify:

Custom questions for the online appointment booking portal in AssisTime: title, required, client type and answer type

  • Title: the question itself;
  • Required: check this box if an answer is mandatory;
  • Client type: whether the question is for all clients, existing clients only or new clients only (for example, "How did you hear about us?" only makes sense for a new client);
  • Type: the type of answer expected;
  • For all users in the group: if you work as a team, the question applies to all your colleagues' portals.

Drag the questions by the handle on the left to change their order.

Answer types

  • Text: a single line of text;
  • Multiline text: a text box with several lines;
  • Multiple answers: a list of choices where the client can check more than one;
  • Checkbox: a single checkbox, for example for consent;
  • Single choice: a list of choices where the client can pick only one;
  • Date: a date picker;
  • Number: a numeric field;
  • File: the client can attach a document, for example a medical prescription.

For the Multiple answers and Single choice types, enter the possible choices separated by semicolons, for example: Internet;Referred by a friend;Social media;Other.

Don't forget to click Save.

What your clients see

Your questions are added to the booking form, below the client's contact information:

The answers are added to the appointment description in your calendar and to the email notifying you of the new booking. Any attached file is saved in the client record.

And for the waiting list

Further down on the same tab, the Waiting list section also lets you ask questions of clients who sign up for your waiting list (see this article).
